Cancellation and Refund Policy

Cancellation & Refund Policy

At East Coast Bike Hire, we understand that plans can change. Our cancellation policy is designed to be fair to both our customers and our business.

1. Standard Cancellations

* Bookings cancelled more than 24 hours before the scheduled hire time are eligible for a full refund, less any third-party transaction fees (such as Stripe or card processing fees where applicable).

* Refunds will be processed within 3–7 working days to the original payment method.

2. Cancellations Within 24 Hours

* Cancellations made within 24 hours of the booking start time are non-refundable.

* This includes same-day cancellations and last-minute changes.

3. No-Shows

* Failure to arrive at the booked time without prior notice will be treated as a ‘no-show’.

* No refund or credit will be issued for no-shows.

4. Early Returns

* No refunds, credits, or partial refunds are provided for bikes returned early.

* The full booking period remains chargeable once the hire has commenced.

5. Weather Policy

* No refund will be issued due to normal weather conditions, including rain or wind.

* In the event of severe or unsafe weather conditions, East Coast Bike Hire may, at its discretion, offer:

  * a change of date

  * a booking credit

  * a full refund

6. Rescheduling

* Customers may reschedule their booking, if notice is given at least 24 hours in advance, subject to availability.

* Requests made within 24 hours may be accommodated at management discretion.

7. Cancellation by East Coast Bike Hire

If we need to cancel due to:

* Unsafe weather

* Mechanical issues

* Operational reasons

* Unforeseen circumstances

Customers will be offered either:

* A full refund, or

  • An alternative date/time

8. Group Bookings

For group bookings of 6 bikes or more, the following cancellation terms apply:

  • Cancellations made more than 72 hours before the scheduled hire time are eligible for a full refund, less any applicable third-party transaction fees.
  • Cancellations made within 72 hours of the booking start time are non-refundable.
  • One free date change may be offered if requested more than 72 hours in advance, subject to availability.
  • Reductions in group numbers within 72 hours of the booking may still be charged at the original confirmed booking quantity.

* No refunds will be provided for non-attendance of individual members within the group once the booking has commenced.

For larger organised groups, including school tours, corporate events, and family gatherings, East Coast Bike Hire reserves the right to request a deposit at the time of booking.
